  • Final Close-Outs & End of Year Data

    The final drawdown period for your grant award begins June 12th, 2023 - the first attachment provides the instructions and the link to submit is here: https://athlifefoundation.org/ges-submission

    If your school year has ended, you can submit right away.

    Below is the link for your end of year data submission. Attached is a guide, master spreadsheet and worksheets to help you prepare. This is for your own school's record keeping, please do not submit the worksheet attachments.

      • Best Practice - Schools should work to create an internal system where multiple people have an understanding and access to the impact data you have collected and submitted in the past years. Although this established protocol is a thorough look, we understand that each school has something unique that we may not capture. We always want to encourage schools to look deeper into their own data and find those priority data points that school and district administrators are especially looking for - do not limit yourself to this protocol, and be vigilant about warehousing and managing your historical data in house. 

    • The online portal requires each school to select TWO Primary Target teams for data submission (one male and one female). If your school worked with more than TWO target teams, identify internally which TWO were the top priority. At the end of the survey, there is an upload for additional data and documentation. We would recommend submitting any additional high level data points and anecdotals on those additional primary targets via a 1-2 page summary.  The Spring Program Survey that was completed in April, along with the End of Year Data will help develop the full picture of your program's impact and give all of us a good look at the number of teams and participants in your programs.

    • Importance of Anecdotals - approach this question (Identify Three Anecdotal Success Stories - individual student trunaarounds, overall programmatic successes, etc.) with equal importance. The story telling component for your school and district leaders, along with funding partners is critical. Do not be afraid to "toot your own horn" as hard as that is sometimes for educators to do. We do not want individual names of student-athletes - you can simply designate "sophomore student-athlete soccer player" or one letter fake initial when telling a student success story.

    • If you are a FIRST YEAR GRANTEE - please note, baseline data is critical - you will run the same reporting numbers for the 2021-22 rosters of your Primary Target teams. Some of you completed this in the fall. If you did so, you do not have to submit again. There is a drop down menu to indicate the year in which you are submitting baseline data. If this is going to jam you up before the deadline, please prioritize 22-23, and your EC will work with you on a timeline for the baseline year.

    • If you are a GRANTEE beyond your first year, please do your best to maintain consistency with your previous Primary Target Teams - the goal is to establish a year over year look at impact and progress.

    • There is a BACK button if you need to check your work throughout, once it is submitted, if you feel you made an error, contact your EC and we can fix it on the back end.

    The FINAL DEADLINE for both final grant drawdown and data submission is July 14th, 2023.  Data submission will need to be completed before final grant award checks are processed.
